Update Shopify stock from a supplier's email attachment
Many suppliers don't offer a download link. They email a CSV or Excel file on a schedule. Without automation, that means opening the attachment, matching rows to your products and editing stock by hand or through a CSV import.
Doing it by hand
Save the attachment. If it's an old .xls file, re-save it as .xlsx or CSV.
Export your inventory from Shopify, match the supplier's SKUs to yours, and copy the quantities across.
Import with Shopify's inventory CSV import, choosing the right location.
Check that the file is today's and complete (compare the row count with yesterday's) before importing.
Automating it with Fieldwork Supplier Feed Sync
Each email feed gets its own private address. Ask the supplier to send the file there (or add it to their send list).
Add your supplier's address (or @their-domain) under Allowed senders. The list starts empty; mail from anyone else is ignored and noted in the feed's run log.
The email must also pass a check that it really came from the sender's domain: a valid DKIM signature from that domain, or an SPF pass where the sending server's domain is exactly the "From" domain (common for Microsoft 365). A forged "From" address isn't enough. Emails that fail this are noted in the run log and nothing is changed.
The email needs exactly one CSV or .xlsx attachment, or you can give a filename pattern to pick the right one.
The file then goes through the same checks as any feed: dry-run preview, holds for price jumps, cut-off files, moved columns and unmatched SKUs.
If no new email arrives for longer than the feed's stale limit (48 hours by default), you're alerted. Nothing is changed. If your supplier doesn't send at weekends, raise the limit to 72 hours.
On paid plans an emailed file runs when it arrives. On Free, emailed files are previews until you click Run now.
Stock is written to the location you choose in the app. Old .xls files aren't supported; ask the supplier for CSV or .xlsx.
Fieldwork Supplier Feed Sync is coming soon to the Shopify App Store.
